Xerox and Ricoh Awarded BLI "Picks" for Document Management Solutions

(BLI), the world’s leading independent evaluator of document imaging products and solutions, announced its Spring 2008 “Picks” in the solutions category today, with the prestigious awards going to Ricoh Americas Corporation and Xerox Corporation for their solutions in what is perhaps the most important category—document management. BLI’s semi-annual “Pick” awards are given to the products and solutions that measure up as the best in BLI’s unique evaluations, which assess a wide range of the most important performance factors for buyers.

Ricoh DocumentMall Offers Affordable Web-Based Document Management
“For small and medium-size businesses, Ricoh’s DocumentMall is a painless and affordable way to take advantage of the benefits of document management,” said Hoffman. Because this solution is hosted on a secure remote server accessed over the Internet, smaller companies don’t have to make a big investment in servers, software, implementation and maintenance agreements. Instead, buyers simply purchase a Starter Package (prices start at $1,200 a year for up to 400 users and 1 GB of storage) and add more storage and add-ons as the company’s needs grow.
And because all that’s required with DocumentMall is any Internet-connected PC, there’s nothing for an administrator to install. One exception is if users want to be able to scan documents from ESA-enabled Ricoh MFPs, in which case firmware must be installed on each MFP that will be used for scanning. Users can also upload files singly or in groups from their local or network drives.
Based on the widely used Documentum document management system, DocumentMall also offers excellent security, with seven levels of access rights, SSL encryption, hosting on a server that Ricoh says can withstand a Category 5 hurricane, and optional back-up of all files stored in DocumentMall on DVDs.

Xerox DocuShare 6.0 Offers Versatility And Scalability
"Between standard DocuShare 6.0 and the more advanced DocuShare CPX 6.0, which adds the ability to automate workflows, a business can choose the level of collaboration and document management it needs, which makes this flexible solution well suited to organizations of all sizes,” said Hoffman. DocuShare, which runs on a Windows, Solaris or Linux server and is accessed via a Web browser, enables users to store, index, find and share not only documents, but also other kinds of content, such as blogs, calendars, wikis and e-mail. Moreover, different types of related content can be grouped together. Users with appropriate access rights can add electronic documents to DocuShare by browsing to the files and uploading them, adding indexing data if desired. They can also scan documents from Xerox WorkCentre MFPs equipped with optional SmartSEND or, using DocuShare 6.0’s Scan Cover Sheet feature, from any MFP, including non-Xerox models. The cover sheet, which contains coded information on the document and its intended location, is placed in front of the document so that when scanned, it directs the document and associated data to its intended location. Documents can also be e-mailed to DocuShare. The latest version of this versatile system also features integration with Microsoft SharePoint Portal and Office 2007 applications and supports hosting of standard DocuShare and DocuShare CPX from the same server, with quick user upgrades or downgrades simply by entering a license key.
